Hemlane's Prospective Tenant tab makes it easy for you to track and manage all leads and applicants that inquire through your listing. Below you will find helpful tips on how to utilize Hemlane for managing your new leads.
How are leads added to Hemlane?
There are three ways for leads to be added to Hemlane:
- Inquiring from the listing syndicated to one of our listing partner sites
- Inquiring from your public listing URL by either asking a question or scheduling a showing - here is how you find that link
- From the Prospective Tenants tab - see below to manually add a lead
What are the next steps after a lead is added?
Once a lead has either been manually added in by you or added into the system from inquiring on the listing, you have a few options to move forward with the lead in Hemlane.
View and respond to messages from leads:
You can view and respond to messages that have been sent to you by the lead within your Hemlane account. Please navigate to your Prospective Tenant tab, click on the leads name, and select the messages tab, or select the message icon from their lead block.
To identify unread messages from prospective tenants, look for the red notification dot next to the message icon:
Invite the lead to a showing:
You can invite the lead to a showing if they have expressed interest in their message when they inquired. Please see our support article for more information, How do I schedule rental showings and times with tenant leads?
Invite the lead to apply:
You can invite the lead to apply if you have been in contact with them and they have viewed the rental. Please see our support article for more information, How do I manage the application and screening process?
Keep track of any private notes about the lead on Hemlane:
You can keep track of private notes about the lead on Hemlane for your own record. These private notes cannot be seen by the prospective tenant. To make private notes please navigate to your Prospective Tenant tab, click on the leads name, type in your notes under the "Private Notes" section, and save the changes.
Once you move the lead over to the applicant column, the private notes will be located under their profile towards the bottom of the pop up page:
Archive the lead:
If you choose to not move forward with the lead, you can archive them within your Prospective Tenants tab. Please see our support article for more information, How do I delete or move out a lead, applicant, or tenant?
