Hemlane provides a reference ID with every payment made on the platform. This allows you to easily search for a specific payment and match it to your bank account transactions.
Please note that if you are unable to find a payment using a reference ID, the payment may be associated with an archived property. Only active properties and their payments can be searched using a reference ID.
What Is a Reference ID (REF ID)?
The reference ID is a unique code attached to each payment in Hemlane. On your bank statement and within QuickBooks or other accounting systems, you will see the reference ID displayed under the description field.
If you do not see a reference ID on your bank statement, your bank may not be displaying them. This is rare and typically only occurs with smaller banks. Rest assured, the reference ID is still sent — your bank has the data but may have chosen not to surface it to you. An example is shown below for reference ID QW88W:
Banks only allow a limited number of characters in the statement description, which is why unique reference IDs are the most reliable way to match payments. Listing the property address alone would not allow you to distinguish between a security deposit and a rent deposit, for example.
Option 1: Search for the REF ID Under Transactions
Step 1: Select Financials on the left-hand panel.
Step 2: Select [All Filters] and enter the payment reference number to pull up the associated transaction.
Option 2: Download Your Payments
This option is especially useful when you need to locate multiple reference IDs at once.
Step 1: Select Financials on the left-hand panel.
Step 2: Choose the Requests tab at the top.
Step 3: Click Download and then select Invoices or Payments.
The reference ID is attached to each individual payment, not the overall payment request. For example, if you request $1,000 and two roommates each pay their portion separately, each payment will have its own reference ID, allowing you to match each transaction to your bank statement at the line item level.
To match reference IDs in your downloaded Hemlane spreadsheet, look at the “statement descriptor” column and use the code that appears after the word Hemlane.
Option 3: Select View From Transactions
Step 1: Select Financials on the left-hand panel.
Step 2: Choose the Requests section at the top.
Step 3: Filter by property or other variables such as the tenant’s name to locate the specific transaction.
Step 4: Click View on the transaction.
Step 5: The reference ID will be listed under the Payments section.
